Automation for dental and medical clinics

A clinic's front desk spends hours a day on three things: booking, reminding and chasing. All three are rule-based and all three can run on their own, with staff stepping in only for the exceptions. The dental-clinic app on this site is a demo I built to show the patient side; the booking and reminder flows behind it are the same ones I build on Make.com, n8n or a Telegram bot for real clinics.

What gets automated

Data and privacy

Patient data stays in your systems: the automation moves records between your calendar, CRM and messenger under your accounts, and self-hosted n8n is available when data must not leave your server. Every flow is documented so your administrator can see exactly what is stored where.

How a project runs

  1. Discovery call (free, 30 min). You walk me through the process; I ask about volumes, tools and who maintains the result.
  2. Written scope. Every step mapped, tools named, what "done" looks like, timeline and a fixed price. Nothing starts before you approve it.
  3. Build with test data. Error handling, retries and alerts are part of the build, not an extra.
  4. Review. You test against the scope checklist; fixes to anything off-scope are included.
  5. Handoff. Walkthrough video, step-by-step documentation, credentials in your accounts. Then 30 days of support.

Questions

We already use a specific CRM or tool — can you work with what we have?
Almost always, yes. Make.com and n8n connect to thousands of apps out of the box — HubSpot, Pipedrive, Airtable, Google Workspace, Telegram, Shopify, and more. If your tool has an API, it is very likely connectable.
How long does a project actually take?
Most single-flow automations (lead capture, CRM sync, a simple bot) ship in 2–3 days. Multi-step projects with several tools or AI logic take 5–10 days. You get a real timeline after the discovery call, not a guess.
What happens when something breaks or our tools change? Are we stuck waiting on you every time?
30 days of free support after every project. You get full documentation — every scenario explained step by step, with screenshots. The tools have visual editors you can adjust yourself. I am reachable if you need me.
How much does this actually cost?
Fixed price, agreed before I write a single scenario — no hourly billing, no scope-creep charges. Simple integrations start around $150; multi-step workflows with AI or CRM logic run higher. You get the exact number on the discovery call.
